Please read these Terms of Service (“Terms”) carefully before booking or using any services provided by Luxury Photo Mirror (“we,” “us,” “our”). By submitting a booking inquiry, signing a service contract, or making a deposit payment, you (“Client”) agree to be bound by these Terms in full. If you do not agree, please do not proceed with booking.

1. Services

Luxury Photo Mirror provides interactive mirror photo booth rental services for private and corporate events on the island of Maui, Hawaii. Specific services, package details, hours of operation, and add-ons are outlined in your individual service contract, which governs the specifics of your booking. These Terms apply to all bookings and engagements with Luxury Photo Mirror.

2. Booking & Reservations

Inquiries

To begin the booking process, Clients must submit an inquiry with their event date, event location, and any applicable coordinator information. Submission of an inquiry does not constitute a confirmed reservation.

Confirmation

A reservation is only confirmed upon:

Execution (signing) of the Luxury Photo Mirror service contract by both parties, and
Receipt of the required deposit payment.

Luxury Photo Mirror reserves the right to decline any booking at its sole discretion.

Coordinator Collaboration

If you are working with a wedding planner or event coordinator, please provide their company name and contact person at the time of inquiry. We will coordinate directly with your planning team as needed to ensure seamless event logistics.

3. Payments & Fees

Deposit

A non-refundable deposit is required to secure your event date. The deposit amount will be specified in your service contract. No date is held without a confirmed deposit.

Balance

The remaining balance is due as specified in your service contract. Failure to remit payment by the due date may result in cancellation of your booking.

Payment Methods

We accept the following forms of payment:

Check — mailed with your signed contract
Online bank transfer — via our complimentary QuickBooks billing service
Credit card — subject to a 3.5% processing fee

Pricing

All prices are quoted in U.S. dollars. Current package pricing is as follows:

Pricing is subject to change. The rate confirmed in your signed contract is the rate that governs your booking.

4. Cancellations & Rescheduling

Client Cancellations

All deposits are non-refundable. If a Client cancels a confirmed booking:

Cancellations made more than 60 days before the event date will forfeit the deposit only; no additional fees will be charged.
Cancellations made 30–60 days before the event date will be charged 50% of the remaining balance.
Cancellations made fewer than 30 days before the event date will be charged the full remaining balance.

Rescheduling

Clients may request to reschedule their event date subject to Luxury Photo Mirror’s availability. Rescheduling requests must be submitted in writing (email is acceptable) as early as possible. We will make every reasonable effort to accommodate rescheduling requests, but cannot guarantee availability on alternative dates. Rescheduling does not entitle the Client to a refund of any amounts already paid.

Cancellation by Luxury Photo Mirror

In the unlikely event that Luxury Photo Mirror must cancel due to unforeseen circumstances (equipment failure, emergency, or force majeure), we will notify the Client as soon as possible and issue a full refund of all amounts paid. Our liability in such cases is limited to the refund of payments received; we are not responsible for any incidental, consequential, or indirect damages arising from a cancellation.

5. Setup & Event Day

Setup Time

Every package includes 2 hours of setup time prior to the event start. This time is used to transport, assemble, test, and style the mirror booth at your venue. Setup time is not counted against your service hours.

Early Arrival / Standby

If your venue or event timeline requires our team to arrive earlier than 2 hours before the event start, or to remain on standby between setup and service, an early setup / standby rate of $100 per hour applies.

Venue Access & Requirements

The Client is responsible for ensuring that Luxury Photo Mirror has:

Adequate access to the venue at the agreed-upon setup time
A flat, stable surface with sufficient space for the mirror booth and guest activity
Access to a standard 110V electrical outlet within reasonable proximity to the booth placement
Parking or load-in access for our team and equipment

Failure to provide adequate access or facilities may result in a delayed setup or, in extreme cases, inability to perform services. No refund will be issued in circumstances where the Client’s venue or conditions prevent setup.

Attendants

All packages include 2 professional attendants who will be present throughout your service hours to operate the booth, assist guests, manage props, and ensure print quality. Our attendants are trained to be energetic, professional, and unobtrusive — they’re there to elevate your event, not distract from it.

6. Equipment

Luxury Photo Mirror provides and maintains all equipment required for your service, including the interactive mirror, printer, props, and backdrop. The Client agrees to:

Not tamper with, move, or attempt to repair any equipment
Ensure that guests interact with the equipment in a reasonable manner
Accept responsibility for any damage to equipment caused by the Client, their guests, or their vendors during the event

In the event of equipment damage caused by the Client or their guests, the Client will be invoiced for the cost of repair or replacement at fair market value.

7. Props & Backdrops

Luxury Photo Mirror provides 300+ luxury props and a selection of premium backdrops as outlined in your package. Prop availability is subject to change. While we make every effort to maintain our full collection, we do not guarantee the availability of specific props. Backdrop selection is subject to availability and must be confirmed at time of booking.

8. Photo Prints & Online Gallery

Prints

All packages include unlimited 4×6 prints produced by a professional dye-sublimation printer during your service hours. Print quality is subject to proper lighting conditions at the venue. Luxury Photo Mirror is not responsible for print quality issues caused by insufficient ambient lighting or environmental factors outside our control.

Online Gallery

An online gallery of all photos taken at your event will be delivered after the event. Gallery delivery timeframes will be confirmed in your service contract. The gallery is provided as a courtesy service; Luxury Photo Mirror is not responsible for gallery access issues arising from third-party platform outages.

9. Photo Usage & Intellectual Property

Client’s Photos

Photos taken at your event belong to you and your guests. We will always seek your explicit consent before using any event photos in our marketing, website, or social media. You may withdraw consent at any time by contacting us.

Custom Designs

Custom photo border designs created by Luxury Photo Mirror for your event are the intellectual property of Luxury Photo Mirror. Clients receive a license to use these designs on their personal prints and shared gallery photos. Designs may not be reproduced, resold, or used commercially without written consent.

10. Limitation of Liability

To the maximum extent permitted by applicable law, Luxury Photo Mirror’s total liability to the Client for any claim arising out of or related to these Terms or our services shall not exceed the total amount paid by the Client for the services giving rise to the claim.

Luxury Photo Mirror is not liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of enjoyment, loss of memories, or costs of substitute services.

11. Force Majeure

Luxury Photo Mirror shall not be held liable for failure to perform services due to circumstances beyond our reasonable control, including but not limited to natural disasters, hurricanes, severe weather, wildfires, acts of God, government orders, pandemics, strikes, or venue closures. In such events, we will work with the Client in good faith to reschedule. If rescheduling is not possible, a refund of all payments received will be issued.

12. Indemnification

The Client agrees to indemnify, defend, and hold harmless Luxury Photo Mirror, its owners, employees, and contractors from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to: (a) the Client’s breach of these Terms; (b) damage to equipment caused by the Client or their guests; or (c) any claims by third parties related to the Client’s event.

13. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Hawaii, without regard to conflict of law principles. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in Maui County, Hawaii.

14. Entire Agreement

These Terms, together with your signed service contract, constitute the entire agreement between Luxury Photo Mirror and the Client with respect to the services described herein, and supersede all prior discussions, representations, or agreements. In the event of any conflict between these Terms and the signed service contract, the signed service contract shall control.

15. Modifications

Luxury Photo Mirror reserves the right to update these Terms at any time. The version in effect at the time your service contract is signed governs your booking. Updated Terms will be posted on our website with a revised “Last Updated” date.
